This Privacy Policy explains how My Self-Care Studio LLC ("we," "us," or "our"), the company behind The Oasis, collects, uses, and protects your information when you use our website, dashboard, and related services (collectively, the "Service").
We respect your privacy. We collect the minimum data needed to make the Service work and to personalize your experience. We do not sell your data. Ever.
What We Collect
You give us
- Account info: name and email address (and optionally phone number) when you sign up.
- Onboarding answers: your role (nurse, teacher, entrepreneur, etc.), how you're "arriving" today, and the F.L.O.W. Chart responses you submit.
- Content you create: journal entries, wins, wellness calendar tasks, and messages you send to Kara.
- Payment info: processed by our payment provider (FastPayDirect). We never see or store your full card details.
We automatically collect
- Usage data: pages viewed, features used, login frequency. Used to improve the Service.
- Device data: browser type, operating system, approximate location (city-level), to support and debug the dashboard.
- Local storage: your selected theme, active model, and tier preference are stored in your browser's localStorage so the PWA remembers them between sessions. No personal data is stored this way.
How We Use Your Data
- To run the Service — let you log in, save journal entries, play music, and chat with Kara.
- To personalize what Kara recommends based on your F.L.O.W. scores, active model, journal, and calendar.
- To send service emails (welcome notes, weekly recaps, F.L.O.W. updates) and occasional notes from Ray.
- To process payments and handle subscription billing.
- To detect safety risks (crisis-keyword detection in messages to Kara) and route urgent situations to the right resources.
- To improve The Oasis over time — looking at aggregated patterns of what's working.
About Kara (Our AI Companion)
Kara is an AI self-care companion. Kara is not a licensed therapist, doctor, nurse, or medical professional. The information Kara provides is for general support and reflection — not medical, legal, or psychological advice. If you are in crisis, please contact 988 (call or text) or your local emergency services.
When you message Kara, your messages and her replies are stored so the conversation can continue meaningfully. We share your messages with our AI model provider (Anthropic) so Kara can generate her response. Anthropic processes the messages to produce the reply and does not use your conversations to train its models when accessed through their API.
If Kara detects language suggesting active crisis (intent to harm yourself or others), the conversation is flagged in our system so we can ensure safety. We will never share the content of your conversations publicly, with advertisers, or with anyone outside the safety-routing system described in our Terms of Service.
Who We Share Data With
We use trusted third-party services to run The Oasis. Each one only receives the data it needs to do its job:
- Airtable — stores your journal entries, F.L.O.W. submissions, wins, calendar tasks, and Kara conversation history.
- Anthropic — processes messages between you and Kara to generate her responses.
- GoHighLevel (GHL) — manages contact records, email communication, and member relationships.
- Netlify — hosts the website and runs the serverless functions that power the dashboard.
- FastPayDirect — processes subscription payments. They handle card data — we never see it.
- Email/SMS providers — used to deliver service messages (welcome, weekly recaps, occasional notes from Ray).
We do not sell, rent, or trade your personal data to anyone. We do not allow third parties to advertise to you inside The Oasis.
How We Protect Your Data
- All data is transmitted over HTTPS (encrypted in transit).
- API keys and secrets are stored in environment variables, not in code.
- Access to member data is limited to Ray and any future authorized team members operating under signed confidentiality.
- We never store your full payment card number — that's handled by FastPayDirect.
No internet service is 100% secure, but we take reasonable steps to protect what you share with us.
Your Rights
You can ask us to:
- Access a copy of the personal data we hold about you.
- Correct anything that's wrong.
- Delete your account and the data associated with it (some records may be retained for legal/tax reasons).
- Export your journal entries and chart data in a portable format.
- Opt out of marketing emails at any time (service emails related to your active account will continue).
To make any of these requests, email ray@myselfcare.studio and we'll respond within 30 days.
Children
The Oasis is intended for adults aged 18 and older. We do not knowingly collect data from anyone under 18. If you believe a minor has signed up, please contact us and we will delete the account.
Cookies & Tracking
We use minimal browser storage — primarily localStorage — to remember your tier, theme, active self-care model, and a few UI preferences (like whether your Kara queue panel is open). These are not advertising cookies. We don't track you across other websites.
We may use light analytics (Netlify built-in analytics or similar) to understand how the Service is used. This data is aggregated and not tied to your identity.
Changes to This Policy
If we make material changes to this policy, we'll update the "Last Updated" date at the top and notify active members by email. Your continued use of the Service after a change means you accept the updated policy.
